Role Overview
The Admin Manager will serve as the operational backbone of Hugo’s Cape Town site, owning day-to-day administration, facilities, and site operations. This role ensures the office runs smoothly, remains compliant, and delivers a consistent, high-quality employee experience aligned with Hugo’s global standards.
You’ll work closely with Hugo’s central People Operations, IT, and Finance teams in Lagos, acting as the on-the-ground owner for all admin and site-related needs while supporting delivery leaders to create a productive, well-run environment for our teams.
What You’ll Be Doing
Site & Office Operations
Own all office operations, including vendors, utilities, supplies, maintenance, and service providers.
Ensure the Cape Town site is well-maintained, secure, and operationally ready at all times.
Act as the primary site contact for facility inspections, health & safety compliance, and local regulatory requirements.
People & Admin Support
Support local HR operations, including onboarding logistics, attendance tracking, and offboarding coordination.
Serve as a point of contact for day-to-day employee admin queries, escalating to central teams when needed.
Partner with People Ops to ensure consistent application of Hugo policies and processes on-site.
Assets, IT & Logistics
Maintain accurate inventory of work tools and equipment, ensuring compliance with asset tracking and security policies.
Coordinate with IT on access management, equipment setup, and issue resolution.
Manage travel, lodging, and local logistics for visiting staff, leaders, and clients.
Finance & Coordination
Manage petty cash, local expenses, and reconciliations in line with central finance guidelines.
Act as the liaison between Cape Town staff and central teams (People Ops, IT, Finance) for admin-related escalations.
Partner with the Delivery Lead to ensure the site environment supports performance, productivity, and culture.
What We’re Looking For
3–5 years+ experience in office administration, facilities management, or operations roles.
Proven ability to run day-to-day site operations independently and reliably.
Strong organizational skills with high attention to detail and follow-through.
Comfortable coordinating across HR, IT, Finance, and external vendors.
Proficient with Google Workspace and basic IT/admin systems (ticketing, access management, inventory tracking).
Experience in a fast-paced, scaling, or BPO environment is a strong advantage.
